We Can Cancel or Reject Bookings that Don’t Meet Our Requirements
Cayman Villas reserves the right to reject or cancel bookings if they do not meet our Terms & Policies, or the requirements of the property. When booking our properties, all Agents agree to our Terms & Policies and to provide Cayman Villas with their client’s information to complete the booking.
Cayman Villa Properties Are Subject to the Policies Listed (Some Properties Differ*)
All bookings with properties that Cayman Villas exclusively represents are subject to the policies listed below:
*Properties that are not exclusively represented by Cayman Villas have different policies (they are easily identified as they don’t have an online calendar). Please contact us to view or to discuss these terms and policies.
Bookings Must Be Made By a Guest Aged 25+
To book a Cayman Villas property the client must be 25+ years and be a guest staying at the property. Children aged 2 and under stay for free. White Sands #3 & #9 do not allow children under the age of 5 years to stay at the property.
A Credit Card Must be Provided with All Reservations
All major credit cards are accepted: MC/Visa/Discover and American Express. Company or personal cheques are not allowed, only Bank Drafts/Cashier Checks are accepted. Wire transfers are also accepted - please contact us for details. A credit card must be provided with all reservations, regardless of payment method.
We Require a 50% to 100% Deposit to Confirm a Reservation
We require a 50% deposit to confirm a reservation if more than 30 days (60 at Christmas) prior to arrival date. We require full payment on all reservations if the booking is within 30 days (60 at Christmas) of arrival date, or if the stay is less than 7 nights.
Damage Deposits Are Required for Some Bookings
We require credit card and client details to be held on file in case of damages. Select properties may require a set damage deposit amount by credit card pre-authorization, to be held during guests stay in case of damages. Our staff will advise you of this at time of booking.
Holiday Periods Are Subject to Different Booking Policies
(Please note that the special fewer people rates do not apply during holidays such as Easter, Christmas and New Year’s).
Holiday booking requirements: 14 nights minimum for all 4 bedroom + properties (we will accept less than a 14-night stay on condition that the dates are over the designated dates of the Christmas week (not New Year week) or a day or two earlier. The exception to this policy is that full payment is required at the time of the booking and is non-refundable).
There is a 7-night minimum stay for all properties with 3 bedrooms or less, with preferred dates of arrival being weekend to weekend for the 7-night stays. If you wish to stay for both holidays - 25th December and 1st Jan - then we require 14 nights minimum.
For the Easter holidays, we require a 7-night minimum stay. Our booking form must be completed or information taken via phone, including the client credit card billing address. Should you choose to book online, note your credit card will not be charged until we have reviewed the booking to ensure it meets the policies for the property and you have given your authorization to proceed with the booking of a 50% or 100% payment.
For bookings over 7 nights made more than 30 days before your arrival date (60 days for Xmas/NY) we require a 50% deposit, with the final payment due 30 days (60 days for Xmas/NY) prior to arrival date. Note the credit card on file will be automatically charged for the balance if Cayman Villas is not advised otherwise.
For all bookings, less than 7 nights or made less than 30 days prior to the arrival date (60 days for Xmas/NY), 100% payment is due upon booking. The Confirmation Form must be signed by the client/agent and returned to Cayman Villas.
Booking Changes Are Subject to a $200 Fee
US$200 is charged for every change or revision made to a confirmed booking: this is waived if the stay is lengthened. No revisions are permitted with less than 30 days’ notice. All revisions are dealt with on a case by case basis.
All Properties Have High Speed Internet & Telephone Service But it is Not Guaranteed
All properties that we represent have wireless high-speed Internet service or Wi-Fi and a Telephone or Cell Phone. These properties use FLOW, DIGICEL, WESTSTAR or C3 as their service provider. We make every effort to ensure that the Internet/Wi-Fi is functioning properly prior to your arrival, however we make no representations or guarantees that the Internet/Wi-Fi/Telephone will work all the time. If the Internet/Wi-Fi/Telephone is not working properly, we will make every effort to restore the connection but cannot make any guarantees as the service is provided by an outside entity. If there is a technical problem that cannot be solved, Cayman Villas will not be responsible for any Internet service provider or any other technical problem. Furthermore, Cayman Villas is not obligated to refund you any money if there is any type of problem with the Internet/Telephone service. This is dealt with on a case by case basis.
Flight Details Must Be Provided Within 30 Days of Arrival
Flight details must be provided 30 days prior to arrival day. Upon receipt of your flight details, we’ll be able to advise where you can collect your property key/welcome package.
We Require a Minimum Stay Requirement For Holiday Periods
**Please note that the special fewer people rates do not apply during Holiday Dates such as Easter, Christmas and New Year’s** Holiday booking requirements: 14 nights minimum stay for the 4 bedrooms + properties and 7 nights minimum stay for 3 bedrooms and under, with the preference of an arrival or departure around the 28th Dec. If you wish to stay for both holidays (25th December and 1st January) then we require 14 nights minimum stay. For the Easter and Thanksgiving holidays we require a 7-night minimum stay for all our properties.
Reservation Confirmation and Payment is Required Within 24 Hours after placing a TEMPORARY HOLD on a Property
Once you have contacted Cayman Villas, we can place a 24 hours courtesy hold on a property for you. We will then send you the booking form, and your condo or villa will be placed on a 24 hours TEMPORARY HOLD until the completed Booking Form is signed and returned to one of our Travel Specialist. Payment will then be processed on the credit card provided and a booking number will be issued and displayed on your confirmation form. You will also receive an automated email with the same basic reservation details and we ask that you read, confirm, sign and return the completed Confirmation Form to us via email or fax.
Payment is Required Within 24 Hours in Order to Confirm your Reservation
Payment will be taken after we have communicated with you, once the credit card details have been provided and both parties have agreed to all the details of the booking. No additional fees to the quoted rate are charged by Cayman Villas for credit cards but please be aware that your card issuer may charge for international transactions.
Be Sure to Check Our ‘Minimum Stay’ and ‘Terms & Policies’
Your personal information is securely held in our booking system. We recommend you familiarize yourself with our ‘Minimum Stay’ and ‘Terms & Policies’ which can be found on our website within the Terms and Conditions listed above and below. This act constitutes a rental agreement only and is not a legally binding contract. It is subject to errors and omissions in availability, pricing and terms, and is subject to withdrawal without notice.
Cayman Villas is purely a marketing and booking agency for rental properties
Cayman Villas operates strictly as a marketing and booking agency for rental properties located in the Cayman Islands. Cayman Villas neither owns or manages individual properties. It is exclusively a booking agency with no liability for any physical or financial injury sustained by guests during their stay. In the very unlikely event that a contracted villa is either unavailable or uninhabitable for a guest’s stay (for whatever reason), Cayman Villas will make every effort to obtain similar (or better) accommodations for the guests (subject to their approval). Cayman Villas maintains strong relationships with other on-island managers, homeowners, other villa-rental agents and the Cayman Islands Tourism Department. However, should acceptable accommodations not be found, the limit of financial liability for Cayman Villas will be a prompt, full refund of all monies paid OR an alternate stay at the subject property (at the choice of the guest). Evacuation, or partial-stays, due to hurricanes will result in refunds of up to the total amount of the rental charge, prorated by number of nights stayed. Hurricane-related cancellation benefits are limited to hurricane “warnings” (not “watches”) that affect the Cayman Islands.
No Refunds within 30 Days of Booking (60 Days for Holiday Periods)
For cancellations made less than 30 days (or 60 days for Christmas and New Year bookings) before the arrival date - no refund will be provided. However, a refund, less the booking costs (US$200 cancellation fee plus a 4% Administration Fee), will be warranted, at our discretion, if the property is re-booked by a paying guest for the same cancelled dates.
50% Refund Available for Cancellations Made Between 31-60 Days of Arrival
For cancellations made between 31 and 60 days before the arrival date: a 50% refund will be given if only a deposit has been made, or a 25% refund will be given if the full payment (bookings less than 7 nights) has been made on the reservation.
Cancellations Made More Than 61 Days Before Arrival Are Subject to Fees
Cancellations made more than 61 days from the arrival date: a refund of the deposit payment made, less the booking costs (US$200 cancellation fee and the 4% credit card fees) will be given. No refunds will be given for any late arrivals or early departures.
Travel Insurance Recommended
We highly recommend that you purchase travel insurance prior to embarking on your vacation.
We Retain the Right To Transfer Your Booking to Alternative Property if Necessary
In unforeseen situations only, it may be necessary to transfer guests to an alternative property/unit of equal or superior standard. We will notify the guest, as soon as possible, if this situation occurs (e.g.: property is sold, or damaged, or unforeseen situation arises).
Costs for Damage, Smoking or Pets Will Be Made to Your Card on File
The cost of any damage incurred during your stay at the property will be debited from the credit card on file. The guests will be notified, and pictures sent, along with proof of the cost to repair or replace any items damaged during their stay. All Cayman Villas properties do not allow smoking or pets. If it is determined that a guest has been smoking in a property or has brought a pet without our knowledge or permission, this will result in a US$1,000 charge debited from the guests credit card on file.
We Will Keep You Updated on Severe Weather Conditions As Needed
When necessary, Cayman Villas will advise guests of any severe weather conditions that are approaching the Cayman Islands. Please see the Hurricane Policy on our website.
Cayman Villas is Not Liable For Any Loss, Damage of Injury
Cayman Villas, the property manager and property owner are not liable for any loss, damage or injury incurred to guests during their stay. Rental Restrictions: No pets or parties are permitted at any Cayman Villas property without prior written approval. Cayman Villas is not liable for any pet or party issues. Guest invitees/visitors are not permitted to stay overnight.
Additional Guests Are Subject To Charges
Exceeding the number of booked guests on your confirmed property booking will incur additional charges – namely the nightly additional per person rate plus 13% taxes and gratuities, where applicable. Guests agree to use the property for private, vacation purposes and cannot sublet, convey use to another party or use for any business purposes or transactions.
Let Us Know Your Arrival Information So We Can Schedule Key Pick Up
You must provide Cayman Villas with flight arrival details. For arrivals between 9am – 3pm on weekdays, welcome/key packages and driving directions are to be collected at the Cayman Villas office located on the airport road (Owen Roberts Drive). For Regal Beach Club Bookings, please check in at the Regal beach Office on-site at the complex. For all arrivals after 3pm, over weekends or local public holidays (Regal Beach Club and all other Cayman Villas Properties), keys/welcome packages and directions are to be collected at the AVIS Rent-a-car airport office, located next to the airport terminal.
Little Cayman Guests Require Airport Transfers
Your property manager will provide airport transfers to and from the villa – fees may apply.
Fees and Booking Changes Possible If Your Flights are Cancelled
If your flights to Grand Cayman/Little Cayman are cancelled, you must provide Cayman Villas with proof, provided by the airline. Cayman Villas will do our best to accommodate your stay for alternate dates, subject to availability of the property. Alternatively, we will hold your funds on file for 12 months and apply them to a future booking, at the same property, subject to availability, less a US$250 revision fee. Cayman Villas has the right to assess each reservation on a case by case basis, as we understand there are varying reasons for flight cancellations.
The Cayman Islands official ‘Hurricane Season’ is between 1 June and 30 November each year. Historically, the Cayman Islands have not received threats of hurricanes until much later in the season, usually around September and October.
Refunds Available If A Hurricane Cuts Your Trip Short
If the Cayman National Hurricane Committee issues a ‘Hurricane Warning’ and visiting guests on island are asked to return home, then Cayman Villas will refund any nights remaining on their reservation less a US$250.00 Administration Fee. Should a guest choose to remain on island, please note that they do so at their own risk and Cayman Villas, the owner, and the villa manager will not be held liable.
If there is not an official request by the Government for visiting tourists to evacuate the island, but the guest decides to leave anyway, then Cayman Villas will hold funds on file, from those unused nights, for a future booking at the same property within a 12-month period, less the US$250.00 Administration Fee.
Some Fees Apply For Trip Alteration Due to a Hurricane
If, due to a hurricane, the Government or the Cayman Islands National Hurricane Committee refuses access to commercial airlines and tourists, Cayman Villas will either offer to change the dates of the reservation with no penalty or cancel the booking and refund the deposit on file, less a US$250.00 Administration Fee to guests that are affected.
If Cayman is affected by a hurricane but the island is still operating as normal, and the villa in question is damaged, Cayman Villas will do our best to find alternative comparable accommodations. If we are unable to do so, we will cancel the booking and refund the client their deposit, less a US$250.00 Administration Fee. Otherwise the regular cancellation policy applies.
If Cayman is affected by a hurricane but the island is still operating as normal, and the villa booked is unaffected, should the guests choose not to come to the island, the regular cancellation policy applies.
If Cayman is affected by a hurricane, but the island is still operating as normal, and the villa booked is unaffected, should the guest wish to change their dates, Cayman Villas will do so for the regular US$200.00 revision fee.
*Cayman Villas has the right to assess each situation & reservation individually, due to the unpredictable nature of hurricane season. Cayman Villas, the owners, and the managers/housekeepers, will not be held liable for any injury or loss to guests and their belongings during their stay, because of any weather conditions.

Our website has security measures in place to protect the loss, misuse, and alteration of the information under our control. Only certain employees have access to the information you provide us. They have access only for data analysis and quality control purposes. We encrypt certain sensitive information (such as credit card information) using Secure Sockets Layer (SSL) technology to ensure that your Personally Identifiable Information is safe as it is transmitted.
You Are Responsible For Appropriate Use of the Website
You are responsible for maintaining the confidentiality of your account and password and for restricting access to your computer. We have no responsibility for any activities that occur under your account and password. You may use the Site only for lawful purposes. Activities including, but not limited to, tampering with the site, misrepresenting the identity of a user or conducting fraudulent activities, on the site are prohibited.
Violations of Site Use Are Not Permitted
You may not violate or attempt to violate the security of the Site, including by, without limitation, (a) accessing data not intended for you or logging onto a server or an account which you are not authorized to access; (b) using the Site for unintended purposes or trying to change the behavior of the Site; (c) attempting to probe, scan or test the vulnerability of a system or network or breach security or authentication measures without proper authorization; (d) attempting to interfere with service to any user, host or network, including without limitation via means of submitting a virus to the Site, overloading, “flooding,” “spamming,” “mailbombing” or “crashing”; (e) forging any TCP/IP packet header or any part of the header information in any e-mail or newsgroup posting; or (f) forging communications on behalf of the Site (impersonating the Site) or to the Site (impersonating as a legitimate user). You may not send unsolicited or unauthorized email on behalf of the Companies Office of Jamaica. We may prosecute you to the full extent of the law for any violation of these Conditions of Use. You may not use any device, software, routine or data to interfere or attempt to interfere with the proper working of the Site or any activity being conducted on the Site.
